Configure event settings
Every section of an event's Overview page, who can use it, and where the settings that are not on it live.
Configure event settings
An event's settings are on its Overview page. Open Events and click the event: you land on Overview, the first tab, before Sports and Pricing. The organization's owners and admins and the platform admins can open it. Check-in staff can't.
Save Settings at the top and Save All Settings at the bottom do the same thing: they save General, Branding & Colors, Refund Policy, Mixed division roster limits and Feature Flags together. Custom Domains, Registration Flow and Page status save on their own, as each section below says.
At the top
The event's name and tagline, whether it is published or a draft, and its dates, location, number of sports and registrations (paid and total). A new event starts as a draft, which keeps it off every public list of events: the Good Times home page, your organization's home and Events pages, and the results and team histories players and clubs show. Anyone who opens a draft's own page sees the coming-soon page instead, and nobody can register, buy a spectator pass or join a waitlist for it. People can leave their email on that page, and when you publish, Good Times emails them that registration is open (unless Under construction is still on, in which case the email waits until you switch it off). Registrations already paid for are not affected. To see the page as it will look, open it while signed in with ?__preview=1 added to its address. Click Publish when it is ready, or Switch to draft to take it back. To archive an event, which takes it off those lists and closes its page the same way, use the Events list.
General
Event Name, Tagline, Start Date, End Date, Location, Address and Timezone, and a Description that shows on the event's tile on your organization's homepage, under the tagline. Draft with AI writes a tagline and a description from the name, place and dates for you to edit. The event's web address name (its slug) shows next to Save Settings and can't be changed here.
Branding & Colors
Primary Color, Accent Color, Background and Text Color, the Event Logo and the Hero Image. The rest of the event's look (a separate logo for the top bar, a hero video, homepage sections, fonts and social handles) is on the event's Branding & Logos tab.
Custom Domains
Gives the event its own web address, such as a domain you own. First point the domain's DNS at Good Times with the CNAME record the section shows, then type the domain and click Add Domain. A green dot means the domain is working; a yellow dot means it is not working yet, so check the DNS record and add the domain again to retry. The first domain you add becomes the Primary one. Adding or removing a domain takes effect at once and is not part of Save Settings. With no domain, the event is at /t/ followed by its slug.
Refund Policy
The schedule that decides how much a player gets back: rows of Days before event and Refund %. Add a row with + Add tier; the rows are put in order when you save. With no rows, every refund is up to you. See Handle refunds. The refund wording that players read is separate, on the Policies & Waivers page.
NGB team-invoice billing
Only for governing-body team invoices (bulk roster imports), never for individual registrations:
- Extra roster spots are billed at… the current tier price when the team pays (the default), or the price per player the team paid first.
- Refunds for unused player spots use… the full price paid for each spot (the default), or the Refund Policy schedule above.
Mixed division roster limits
For mixed divisions: the minimum and maximum number of women-matching and men-matching players on each team. When a team has reached a maximum, the next player of that kind who tries to join it is turned away. A minimum is recorded on the event but does not stop a team from playing. Leave a field blank for no limit. Events without a mixed division can ignore this section.
Feature Flags
Switches for:
- SMS Notifications — turns on texts to players for this event (announcements, game-day texts)
- Free-Agent Board — players without a team list themselves, and captains invite them
- Public Players Page — lists registered players by first name and last initial; a second switch, Show full last names instead of just an initial, works only with Public Players Page on
- NGB-Sanctioned — skips the player waiver and per-player account when a governing body already covers the players (each sport can override this on the event's Sports tab)
- Automatic score & spirit requests — after each game, asks each team's captains, coaches and team admins for the score and spirit (WhatsApp, with SMS fallback); needs SMS Notifications on
Under the switches:
- When to send automatic score requests — how many minutes after a round starts the score and spirit questions go out. Leave it empty for the time shown in grey. Used only when Automatic score & spirit requests is on.
- Director alert phone — the on-site director's number. It gets a message when the two captains of a game still disagree about the score after each has refused the other's numbers, and when a team's spirit score for its opponent has a 0 or a 4 in it, or adds up to 4 or less or to 9 or more. A team's score for itself never sends an alert. Sent by WhatsApp, with SMS as the fallback, and needs SMS Notifications on. Leave it blank to use your organization's number, if one is set.
These are set on the event's other tabs, not here:
- Payment plans — checkout offers every payment plan the event has; there is no switch to turn one off. Add, edit or delete plans on the Plans tab. Deleting a plan is the only way to stop offering it, and a plan can be deleted only while nobody is actively enrolled in it.
- Pay what you can — set on each price tier, on the Pricing tab.
- Hat tournament — set on each sport, on the Sports tab.
Registration Flow
Two switches that skip a step of public registration: the A Few More Questions step (T-shirt size, how they heard about the event, medical notes and sport questions) and the Add-Ons & Donation step. Registrants go straight past a step you switch off. This section has its own Save registration settings button, and the same switches are on the event's Registration tab.
Danger Zone
Delete event removes the event and everything in it for good: sports, divisions, teams, registrations, games, scores, transactions, coupons, add-ons, announcements, custom domains and pages. You type the event's name to confirm. It refuses while the event still holds or owes money, for example a paid registration, add-on, team invoice or spectator order that has not been fully refunded, a refund that is still in progress, or a revenue share that has not been settled. It also refuses while a change to one of the event's custom domains is still going through. Settle those, then try again. Everyone who can open this page can delete the event.
Page status
For an event that repeats each year. The event's address keeps working the whole time.
- Under construction — visitors see a coming-soon page with an email sign-up instead of the event's pages, and new registrations are refused. Sign-in, contact and the legal pages keep working. When you switch it off on a published event, and as long as the platform's email sending is set up, Good Times emails the people who signed up on the coming-soon page, confirmed their address and have not unsubscribed, to say registration is open. Anyone who was already sent that email is skipped, so switching it on and off again later does not send it to them again. Registration opens whether or not the emails go out. On a draft, switching it off changes nothing for visitors and sends no email yet: the page stays closed until you publish, and the email goes out when you do.
- Previous edition — last year's event. The coming-soon page links to it, and when this event is published, last year's page goes into archive mode: it stays online, registration there is closed, and a banner points visitors to this event. If last year's event is not on Good Times, give the address of its page on the other site instead.
- Customize the wording — the coming-soon headline and message, the line saying when to expect the event, the text of the link to last year, and the archive banner. Leave a field blank to use the wording shown in grey.
This section has its own Save page settings button.
Not on this page
- Waiver text — the event's own waiver wording, participant and spectator terms and refund wording are on Policies & Waivers (under Communicate in the sidebar). The event's waiver wording is added after the platform's and your organization's waiver text. Only a platform admin can change the platform's text.
- Text message setup — texts and WhatsApp messages go out through the platform's own Twilio account. A platform admin sets it up once, on the platform Settings page, which organizers can't open, so there are no credentials for you to add. Send texts from SMS broadcasts.
- Your mailing list on Sender.net or Mailchimp — Email & marketing, under Manage organization in the sidebar. Only the organization's owner (or a platform admin) can connect it. Good Times still sends every email itself; the connection copies the people who opt in to your list.
- Stripe — Payments, under Manage organization. Only the organization's owner (or a platform admin) can connect a Stripe account. See Connect Stripe.
- Google Analytics — the organization's measurement ID, on the organization's Branding page. It is used on the organization's own pages and on its events' pages, except an event that carries its own ID (no admin page sets one). Platform admins open that page from Organizations. An organization's owner or admin can change it too, but the sidebar has no link to it for them.
- Integrations in the sidebar is something else: it posts to Discord, Slack or any web address when scores, announcements and draws happen.
- A map of the venue — add a Map slide on the event's Slides tab and give it the venue's latitude and longitude, or paste a map's embed link.
- There is no list of tournament directors, and no button to close registration or cancel the event. To stop new registrations, switch on Under construction under Page status.
